Administrative
- Issue monthly levy statements to owners.
- Collect monthly levies, utility charges, and other applicable fees.
- Prepare and send correspondence along with monthly levy statements when necessary.
- Manage credit control for all levies until legal intervention is required.
- Open and maintain current and savings trust accounts in the name of the community scheme.
- Distribute updated conduct rules when statutory amendments occur.
- Maintain records of all communications with owners and trustees.
- Process ad hoc invoices approved by trustees.
- Handle monthly payments for contractual services.

Secretarial
- Organize and attend the first general meeting, as well as subsequent annual general meetings (AGMs).
- Take meeting minutes and circulate them to all owners.
- Attend trustee meetings when necessary, record minutes, and distribute them to all trustees.
- Safeguard and update minute books, rules, insurance policies, sectional title plans, etc.
- Manage proxies, nominations, and meeting agendas.
- Prepare and distribute notices and circulars to all owners.
- Keep statutory and permanent records up to date.
HR & Payroll Services
- Oversee payroll management, including salaries and wages, in collaboration with trustees and directors.
- Handle UIF and PAYE calculations and payments.
- Complete annual and bi-annual statutory submissions to SARS.
- Maintain detailed staff records.
Financial Management
Management Reporting
- Provide a detailed monthly income statement and budget variance report.
- Present a schedule of outstanding levies.
- Supply a levy roll and cash flow statement detailing monthly income and expenses.
- Report on bank balances, surplus funds, and bank reconciliations.
- Prepare Annual Financial Statements
- Prepare yearly budgets
Insurance
- Assist trustees and directors with obtaining quotes and setting insurance replacement values.
- Manage insurance claims related to common property on behalf of the body corporate or HOA.
- Support owners with insurance claims connected to common property.
- Help with the annual renewal of insurance policies.
- Assist in obtaining property valuations for insurance replacement purposes.
Meetings
- Organize venues, send invitations, and prepare all relevant documentation.
- Manage proxies, nominations, and agendas for general meetings.
- Attend trustee meetings as agreed upon.
- Prepare minutes for AGMs and trustee meetings.
- Keep minute books updated.
Advisory Services
- Advise on updates to the Sectional Title Schemes Management Act (STSMA).
- Provide guidance on meeting procedures, including quorum requirements, resolutions, and voting rights.
- Offer advice on enforcing the rules set by the body corporate or homeowners’ association.
Maintenance
- Assist trustees with maintenance issues related to common property.
- Arrange for and submit maintenance quotes to trustees.
- Liaise with contractors to ensure work is completed.
- Inspect contractor work as requested by trustees.
Statutory Records & Amendments
- Submit updated sectional title plans to the Community Schemes Ombud Service (CSOS) for certification.
- Maintain a register of bondholders and owners within the scheme.
- Submit amended management and conduct rules to CSOS for certification.
- Issue levy clearance certificates.
- Process changes in directors and update scheme records with CSOS.
- Distribute certified amendments to scheme members.
Legal
- The Desai Group Real Estate works with registered attorneys to manage any legal actions required to collect overdue levies or provide legal guidance on the scheme’s affairs.
